• Collaborators, Speakers, and Event Registrants: We process information about individuals who engage with our events, panels, and administrative functions. This includes names, surnames, email addresses, job titles, billing/organizational details, and information about professional activities or biographies.

• Accessibility Preferences: If you interact with our accessibility features (Ally), your interface preferences (such as contrast or font size adjustments) may be saved locally on your browser via technical cookies.

3. How We Get Personal Information and Why We Have It

Most of the personal information we process is provided to us directly by you for one of the following reasons:

• Registering for our events, requesting invoices, or subscribing to updates.

• Applying for or managing an INLA-UK membership account.

• Providing background and biographical information as a speaker or board contributor.

• Our Legitimate Interests: (UK GDPR Article 6(1)(f))—specifically, our legitimate interests to promote the activities of INLA and INLA-UK, organise professional events, manage our membership network, and maintain the network and information security of our website.

• Contractual Obligations: (UK GDPR Article 6(1)(b))—where processing your data is necessary to fulfill an agreement with you, such as processing an event registration, managing your membership account, or issuing financial invoices.

Statutory or Contractual Requirements

Providing your personal data (such as your name and email address) is a requirement if you wish to register for an event or establish a membership account. If you choose not to provide this information, we will be unable to confirm your event registration or grant you access to the secure Members’ Area.

4. Sharing Your Data & International Transfers

We may share your personal information with the main INLA organisation (headquartered in Belgium) and other international branches of INLA to coordinate global association activities and events.

International Data Transfers: Because INLA operates globally, sharing data with international branches may involve transferring your personal information outside of the United Kingdom.

• Data transfers to Belgium and the wider European Economic Area (EEA) are covered under the UK’s adequacy regulations.

• For transfers to INLA branches located in countries without a UK adequacy decision, we ensure appropriate safeguards are implemented—such as using the UK International Data Transfer Agreement (IDTA)—to guarantee your data remains fully protected.

We do not sell your data, nor do we share it with third-party advertisers.

Your personal information is securely stored on our website hosting servers and secure internal administrative drives.

We keep contact details and professional backgrounds of Board members, contributors, and speakers at our events for as long as we have an active working relationship with them, and thereafter for as long as we have a legitimate business need or legal obligation to do so (e.g., for standard financial auditing or archive purposes).

When data reaches the end of its retention period, we will permanently and securely dispose of it using digital deletion and wiping methods available at that time.
